Export to PowerPoint

Turn the agenda into a .pptx deck — a cover, an overview table and one slide per block — in the agenda's language, ready to edit in PowerPoint.

The PowerPoint export builds a deck from what is on the agenda right now and downloads it to your computer. Use it when a client or a venue wants the programme as slides, or as the starting point for your own opening deck.

Before you start

Exports are disabled while AI is still filling in details. The menu then reads Still adding details — exports unlock when the agenda is finished. Wait for it — the screen can catch up afterwards, a file you have sent cannot.

Steps

  1. Open the agenda in the builder.
  2. Click More actions — the three-dot button in the header.
  3. Click Export to PowerPoint.
  4. The file downloads as <agenda title>.pptx. There are no options to choose. If something goes wrong, a toast reads Export failed — please try again.

What the deck contains

  • A cover slide with the title, the description, Desired outcomes if you have written any, and one line with the date, start → end and total duration. A multi-day agenda reads 2-day program instead. If the agenda has a time zone, All times shown in … is appended. Your logo sits bottom-right — the agenda's own, or your account's default logo if the agenda has none.
  • One day slide per day on a multi-day agenda — Day 2: Title with the day's start – end times — followed by that day's overview and block slides.
  • Agenda Overview — the day's top-level blocks with Time, Activity, Duration and RESPONSIBLE, closed by an End row with the finishing time. Twelve rows fit the first slide; the rest continue on Agenda Overview (cont.).
  • One slide per block. A standard block shows time, duration and title beside a bar in its category colour, then six sections: RESPONSIBLE, DESIRED OUTCOME, DESCRIPTION, MATERIALS, HOW TO RUN IT (the participant instructions, numbered when there are several steps) and FACILITATOR NOTES. Empty sections show a dash. Group Work swaps HOW TO RUN IT for a PHASES table. Breakout is a Room / Activity / Description table with no times, since rooms run at the same time. Stations lists one row per station with Topic, Description and who is responsible, adding Time and Duration only when the stations have their own timing.

Every slide except the cover carries a small "Powered by agendaflow.com" footer.

Which language it comes out in

The deck is the client's document, so it follows the agenda's language, not your interface language. That is the language pill in the settings row under the agenda title; the default for new agendas is Agenda language in Settings. Headings, column names, Day 2, End and the cover date all come out in that language. One exception: the six section labels on block slides are always in English.

What is left out

Standby blocks, attachments, comments, the participant list and the location are not in the deck. Breakout and Stations slides are titled by type — Breakout and Segments — rather than by the block's own title.

Tip: The deck is a starting point, not the finished presentation. Open it in PowerPoint, apply your own template and delete the block slides you will not present — the overview table alone is often all a client needs.

What to do next

The deck only reflects what is on the agenda, so get the blocks and start times right first — see Blocks, days and start times. If the client should read the agenda rather than receive a file, send a review link instead.
