Send a review link to a client

Give a client their own link to read the plan and comment before the day — no account, and you can cut off one person without touching anyone else.

A review link opens a read-only copy of the agenda where the client can comment on each activity. They do not need an Agendaflow account and they cannot edit anything. You create one link per person, so when someone leaves the project you revoke their link alone. Use it when a client, a sponsor or a co-facilitator should react to the plan before the day.

Before you start

You need to own the agenda, or have editor access to it. The link is created in the builder, so open the agenda first.

Steps

  1. In the builder, click Share in the top right. The Share window opens on the Review link tab.
  2. Under Who is this link for?, keep For one person. Choose For a group only when one link has to go to a whole team — that link can only be revoked for all of them at once.
  3. Type the person's name in Reviewer's name (or the team's name in Team or group name). Use a real name, not a job title: it signs every comment written from that link.
  4. Click Create link. The link appears under Personal with a green Live pill and an address that starts with /a/.
  5. Click Copy link on that row. The button reads Copied! for a moment.
  6. Paste the link into your own email or Teams message. Corporate mail filters often drop mail sent from apps, so send the link yourself rather than from Agendaflow.
  7. Optional: under Access code, type a short word such as the one in the placeholder and click Set code. A dialog asks Turn on the access code? — confirm, then tell the client the word by phone or in the same message. The code is shown in plain text so you can read it out.
  8. To cut someone off later, open the same tab, click the button on their row, choose Revoke, and confirm with Revoke link. The link stops working right away, the row moves to Revoked, and their comments stay on the agenda. Files they already opened stay downloadable for up to 15 minutes.

What the client sees is the agenda, day by day, on a phone or a laptop. Each activity has a Comment button. On a personal link, comments are signed with the name you typed and the client is never asked for it. On a group link, the first comment asks Posting as with a name field, and the name is offered again next time. Everyone holding the same link sees each other's comments; they reach you in the builder's Comments panel.

Which fields the client sees is decided once for every link you share, under Visibility — applies to every link you share on the Participant link tab. Descriptions, responsible person, desired outcomes, attachments and location are on by default. Facilitator notes (reviewers only) and Preparation notes are off until you turn them on, and facilitator notes never reach a participant link whatever you tick.

Tip: A review link shows the plan as it is now, so you do not need to send a new link after you edit. The one exception is the Snapshot setting on the Participant link tab: while a snapshot is on, reviewers see the frozen version too.

What to do next

When the client has commented, work through the comments in the builder and reply there. On the day itself, the room gets a different link — see Share the participant link.
