Share the participant link
Give the room one link or a QR code so participants follow the agenda live on their phones — without seeing your facilitator notes.
The participant link is the agenda as the room sees it on the day: a phone-sized page with the title, date, location, desired outcomes and the timeline, with a marker that moves to the running block every minute and opens today's day by itself. It is a different link from the review link. A reviewer reads, comments and can be given your facilitator notes; a participant gets none of that. There is no comment thread on the participant surface, and facilitator notes never reach it, whatever you tick.
Steps
- Open the agenda in the builder and click Share in the header.
- Select the Participant link tab. The link is created the first time you open it; it looks like
agendaflow.com/a/…. - Click Copy link to put it in a calendar invite or a chat.
- For the room itself, use the Display QR code card: Copy QR puts a PNG on your clipboard for a slide, Download QR saves an SVG for printing.
- Under Visibility — applies to every link you share, tick what participants get: Descriptions, Responsible person, Category badges, Desired outcomes, Participant instructions, Show attachments and Show location are on by default; Preparation notes is off. Facilitator notes (reviewers only) does what the label says — it never applies to this link.
- Under Content, click Add link to attach up to three pre-read links that appear at the top of the participant page.
- Under Publish, choose Live or Snapshot. Live shows every save as you make it; Snapshot freezes the timeline at your last save, while the title, dates and location stay live. Update snapshot refreshes it.
- To mail the link, type addresses under Send via email, add a note if you want one, and click Send email. The mail is titled
Agenda for <your title>and carries a View Agenda button.
If you have set an access code under Review link, a checkbox Require the access code appears inside the QR card. It is off by default and only worth turning on for sensitive content or a QR code you print and leave in the room.
Tip: The ⋯ menu in the builder header has Generate participant email — an AI draft in the agenda's language with the event, times and what to prepare, minus anything internal. It opens as Participant Email, and you can Regenerate, Copy to Clipboard or Open in Mail. The draft does not contain the link; paste the participant link in yourself before sending.
