Share a folder with colleagues

Give named people access to a whole folder — every agenda in it, and every agenda added later. Guests edit for free; any AI actions they use come from yours.

Sharing a folder works like a shared folder on OneDrive: you pick the people, and they get everything inside it — the agendas there today, any subfolders, and every agenda that is added later. Use it when a co-facilitator or a client team should work on a series of agendas with you, instead of sharing each agenda one by one.

Before you start

You need to own the folder. Folders are shared from All Agendas, not from inside an agenda.

Steps

  1. Go to All Agendas and find the folder.
  2. Click the ⋯ button on the folder's row and choose Share. The Share folder window opens with Who has access at the top. You are listed first, as Owner.
  3. To give someone on your team access, tick their name under your team, then choose Can view or Can edit on their row.
  4. To invite someone outside the team, type their email address under Outside the team, choose Can edit or Can view, and click Invite. Access is granted straight away — the email is only a courtesy, so it works even when a company blocks our mail.
  5. If they do not have an Agendaflow account yet, they see the folder as soon as they sign up with that same email address.
  6. To take access away, untick the person.

What the other person sees

On their own All Agendas page the folder appears as a row among their own folders, with Shared by and your name under it and your avatar in the Sharing column. The Shared with me filter narrows the list to what others have shared with them. Clicking the folder opens it.

  • Can view — they open and read every agenda in the folder.
  • Can edit — they also edit those agendas and create new agendas inside the folder.

Only you, as the owner, can delete the folder, remove people or move agendas out of it.

Who owns what, and who pays

  • Guests edit for free. Someone you invite does not need a subscription of their own to view or edit what you share with them.
  • AI actions come from your balance. When a guest drafts, rewrites or reviews with AI inside your folder, it uses your AI actions. The share window says so whenever you give someone edit access. A guest who can only view cannot use AI on your agendas.
  • New agendas belong to the folder. An agenda a guest creates inside your folder is owned by you, the folder's owner, so it stays in the folder if that person later loses access.

Tip: Access adds up, it never subtracts. An agenda inside a shared folder can be shared with extra people, but it cannot hide from someone who has the folder.

What to do next

To let a client read and comment without an account, send a review link instead of sharing the folder.
